Repeated sales work
Leads arrive through forms, advertising, Zalo and email. Copying each into a sheet, checking duplicates and reminding staff consumes selling time. Use a shared lead record with an owner, status and next action so no inquiry relies solely on a private chat.
Capture and distribute leads
Receive structured submissions by integration, normalize phone numbers and mark duplicates. Assign leads by agreed territory, product or rotation. AI can draft a structured summary from customer messages, but missing or ambiguous information is flagged for staff. Integrations depend on official API access, channel permissions or agreed exports.
Follow-ups, quotations and order status
Remind the owner when a lead has no next action; escalate overdue work. Draft a quotation from the current price list and discount rules, then wait for approval. Copy approved order information into the sales system where permitted, and notify status changes through approved channels. Do not automatically negotiate, promise delivery or send unsolicited bulk messages.
Illustrative workflow and boundaries
Illustrative example: a form creates a lead, an owner receives a notice and a follow-up appears on the shared list; a quote is prepared for review. This assumes a usable customer table and written routing rules, not proven sales gains. Salespeople retain relationship decisions; the workflow handles records and reminders.
Start small and retain ownership
Select one lead source and a small team, define duplicate rules, permissions and acceptance checks. Pilot alongside existing work, test missing data and failed sends, then hand over accounts, diagram and instructions. Existing software stays when it supports integration; platform plans, AI usage and maintenance are confirmed separately.
