Why reports arrive late
Data often lives in sales software, marketplaces, ads, cashbooks and inventory sheets. Manual exports require matching product names, removing duplicate or cancelled orders and recalculating metrics. Different formulas produce conflicting reports; by the time a weekly report arrives, decisions rely on old data.
A five-step reporting flow
Fetch data via APIs or scheduled exports. Clean codes and names, remove duplicates and reconcile totals with the source. Calculate revenue, orders, advertising cost per order and overdue balances with documented formulas. Optionally ask AI to describe changes using only calculated numbers. Send the result by email, Telegram or a managed Zalo OA group; flag mismatches instead of silently sending wrong totals.
Sheets or a dashboard
Google Sheets suits moderate data, small audiences and occasional manual adjustments. Keep raw data separate and use scheduled n8n or Apps Script updates with fixed formulas and pivots. Large historical datasets should move to a database before spreadsheets become slow. A dashboard suits shared viewing and filtering by branch, channel or staff. Give access to named accounts and revoke it when needed, rather than publish to anyone with a link.
Illustrative reports and sources
Examples include weekly revenue across three channels, daily advertising cost per order and overdue reminders for account owners. These assume accessible source data and are illustrative, not customer results. Sources can include sales APIs, approved marketplace APIs, Meta or Google Ads, accounting exports, bank transaction intermediaries such as SePay, inventory and timesheets. We verify each source before agreeing scope.
Delivery, accuracy and support
Start with one report, one or two sources, agreed formulas and scheduled email. Expand to reconciled sources, a role-based dashboard and optional AI notes, then maintain metrics as the business changes. Accuracy depends on source quality; AI does not calculate the numbers. CSV or Excel exports can substitute for missing APIs. Our internal weekly narrative report is a separate project with citations and human review.
