Which business workflows should you automate?

A translated summary of a five-factor self-assessment for selecting an AI workflow, separating rules from judgement and estimating the hours it might save.

Guides

Updated:

Score five factors from zero to two

Assess frequency, clarity of rules, digital readiness, consequences of mistakes and process stability. Scores of 8–10 suggest a good first candidate, 5–7 need preparation and below 5 suggest waiting. Resolve any zero-scored factor even if the total is high. This is our practical self-assessment, not a validated measurement scale.

Separate rules, AI and human decisions

Read XML invoices and calculate due dates by rules. Use AI to interpret free text or document images, routing uncertainty to a person. Negotiation, legal commitments and consequential approvals remain with people. Choose a manageable workflow with an accountable owner; avoid unstable processes and tasks repeated only a few times a year.

Estimate hours with real timings

Count monthly runs and time five actual cases. Subtract the human review needed per run, multiply by volume and deduct monthly monitoring time. A high score alone does not justify investment; compare net hours saved and operating costs. Start with one department and a few tools, then validate on real data.
